Default retention policies, configuring custom rules, legal holds, and GDPR erasure requests.
Default Retention Policy
PlugIQ retains all workspace data — records, attachments, audit trails, and analytics — for the duration of your subscription plus a 90-day grace period after cancellation.
Configuring Retention Rules
Enterprise workspaces can define custom retention rules per process in Settings → Data Retention:
- Set a retention period (e.g., 7 years) after which records are automatically archived or deleted.
- Choose between Archive (data is compressed and moved to cold storage) and Delete (data is permanently and irreversibly removed).
- Exclude specific records from deletion (legal holds).
Legal Holds
Apply a legal hold to any record to prevent it from being deleted by retention rules. Legal holds are added from the record’s More menu by workspace Admins. A hold can only be removed by an Admin, and the action is logged in the platform audit trail.
